Please carefully read the terms described below for your participation in the 2023 St. Jude National Graduate Student Symposium (NGSS). By registering to attend the 2023 NGSS, you agree to abide by the following terms and conditions.

COVID 19 Restrictions
Please note that as of September 10, 2021, St. Jude Children’s Research Hospital has mandated the COVID-19 vaccine as a condition of entry for anyone who enters the St. Jude campus. As the 2023 NGSS will be held on the St. Jude campus, the COVID-19 vaccine will be a requirement of participation. You will be required to upload a picture/copy of your vaccination card or other form of proof of vaccination on your registration.
Airfare and Accommodations
As a selected participant in the 2023 NGSS, St. Jude Children's Research Hospital has committed to incur the costs of your airfare and accommodation. Your flight and hotel reservations will be made to cover the duration of the symposium. The symposium schedule allows only for the inclusion of the selected participants. Family members and other individuals cannot be accommodated.
Airline travel arrangements will be made for you by the St. Jude Travel Office per St. Jude travel policies. You will be responsible for arranging and paying for transportation to and from your local airport. Costs of any supplemental airline services you arrange (i.e. checked luggage, special seat assignments, etc.) are also your responsibility and will not be reimbursed by St. Jude.
Your airline ticket will be purchased using the information you provide on your registration and your confirmation will be forwarded to you by email. Note that changes cannot be made after your ticket is purchased, so please ensure that information provided is accurate.
Your flight to Memphis will be scheduled for Tuesday, March 28. The 2023 St. Jude National Graduate Student Symposium will conclude by noon on Thursday, March 30. Transportation to the Memphis Airport will be provided on Thursday, March 30 for participants with flight departures on that date. If you would like additional time to explore the Memphis area, you may request to have your return flight booked for a later date. Participants electing to stay in Memphis past Thursday, March 30 will be responsible for arranging and paying for transportation to the Memphis Airport, and for accommodation starting on Thursday, March 30.
Transportation from the Memphis Airport to the local hotel will be arranged and paid for by St. Jude. All FFRC participants will stay at the SpringHill Suites Memphis Downtown at 85 West Court Avenue. Transportation will be provided from the Springhill Suites Hotel to St. Jude Children's Research Hospital on Wednesday and Thursday morning. Return transportation will be provided on Wednesday evening. All participants will receive their own hotel room.
There will be a reception with light snacks available at the hotel during the registration period on Tuesday, March 28 followed by an orientation meeting and dinner. The Springhill Suites Hotel provides a complimentary breakfast buffet. Participants will be responsible for eating breakfast before they are picked up from the hotel on Wednesday, March 29 and Thursday, March 30. Lunch and dinner will also be provided for NGSS attendees on Wednesday, March 29.
Presentation and Program Requirements
Photographs and email addresses of all participants will be distributed to those attending the NGSS. Please upload a high-resolution .jpg headshot, which is suitable for printing, via the online registration form. Your CV and an abstract of the research you would like to present at the NGSS must be submitted along with your completed registration. The CV and abstract originally attached to your NGSS application can be resubmitted, or you may provide updated documents if you wish. Only CVs and abstracts submitted as Microsoft Word documents will be accepted. Your CV must not exceed four (4) pages in length. Abstracts are limited to 350 words and must contain the title and list of authors at the top of the Word document. Abstract titles and authorship lines do not count towards the 350 word limit for the abstract. Abstracts should not include any figures. Please verify that your CV and abstract conform to these format and length restrictions before submitting your registration.
Each NGSS participant is required to present a poster during the NGSS poster session on Wednesday, March 29. It is your responsibility to prepare and print your poster, and to transport your poster to Memphis. The dimensions of your poster cannot exceed 48" in width and 60" in height. Please ensure that your poster focuses on the work described in the abstract submitted with your NGSS registration and uses the title from that abstract.
